Terms & Conditions

Welcome to Khur Travel Mongolia. These Terms and Conditions govern your relationship with Khur Travel Co., Ltd and your use of our services. By booking or participating in our tours, you agree to be bound by these terms. Please read them carefully before making a reservation.

1. Booking and Payment Terms

1.1 Reservation Process

To secure your reservation, we require the following:

• A completed booking form with all required details for each participant.
• A non-refundable deposit of 30% of the total tour cost at the time of booking.
• Full payment is due 60 days prior to the tour departure date.
• For bookings made within 60 days of departure, full payment is required at the time of booking.

1.2 Payment Methods

We accept payments via:

• Credit/Debit Card (Visa, MasterCard, American Express)
• PayPal
• Bank Transfer

For bank transfers, all transfer fees are the responsibility of the client. Please refer to our Payment Information page for detailed instructions.

1.3 Confirmation

Your booking is confirmed only after we receive both your deposit and completed booking form. We will then send you a confirmation letter with detailed information about your tour.

2. Cancellation and Refund Policy

2.1 Client Cancellation

If you need to cancel your booking, the following cancellation fees apply:

• More than 60 days before departure: Loss of deposit (30% of total tour cost)
• 59-31 days before departure: 50% of total tour cost
• 30-15 days before departure: 75% of total tour cost
• 14 days or less before departure: 100% of total tour cost (no refund)

All cancellations must be received in writing via email to info@tourmongolia.com.

2.2 Khur Travel Cancellation

Khur Travel reserves the right to cancel any tour due to insufficient participation, force majeure events, or safety concerns. In such cases:

• We will offer you an alternative tour of equivalent or similar standard and value.
• If the alternative is not acceptable, we will refund all payments made to Khur Travel.
• Khur Travel is not responsible for any incidental expenses or consequential losses that you may have incurred as a result of the booking, such as visas, vaccinations, non-refundable flights, or loss of enjoyment.

2.3 Tour Amendments

If you wish to make changes to your booking after confirmation, we will do our best to accommodate your request. However, any changes are subject to availability and may incur additional costs.

3. Tour Itineraries and Changes

3.1 Itinerary Flexibility

While we strive to operate all tours as described, we reserve the right to change any trip itinerary, departure date, or any part of specific itineraries due to:

• Weather conditions
• Natural disasters
• Political instability
• Other unforeseen circumstances that may affect the safety or enjoyment of the trip

Any changes made will be to enhance your overall experience or ensure your safety. We will notify you of significant changes before departure or as soon as possible if changes occur during the tour.

3.2 Price Changes

We reserve the right to amend our prices in the event of significant currency fluctuations, government tax increases, or other unforeseen costs increases. If the price increase is greater than 10% of the total tour cost, you may choose to:

• Accept the new price
• Cancel your booking and receive a full refund
• Accept an alternative tour of comparable standard, if available

4. Responsibilities and Liabilities

4.1 Khur Travel Responsibilities

Khur Travel agrees to:

• Provide the services as outlined in the tour itinerary.
• Ensure all partners and service providers maintain reasonable standards.
• Provide qualified guides and appropriate transportation.
• Assist clients in case of emergency during the tour.

4.2 Client Responsibilities

As a client, you agree to:

• Provide accurate personal information when booking.
• Obtain and maintain valid travel documents (passport, visas, etc.) for entry to Mongolia and any transit countries.
• Obtain and maintain comprehensive travel insurance.
• Respect local customs, traditions, and environmental regulations.
• Follow the guidance and instructions of tour leaders and guides.
• Inform Khur Travel of any medical conditions, dietary requirements, or special needs before booking.
• Be physically fit for the activities included in your chosen tour.

4.3 Limitation of Liability

Khur Travel acts as an agent for transportation companies, hotels, and other contractors providing services. We are not liable for:

• Any injury, loss, damage, accident, delay, or irregularity resulting from acts or defaults of any company or person engaged in carrying out tour arrangements.
• Baggage loss or damage.
• Delays or changes in schedule for reasons beyond our control.
• Natural disasters, political unrest, or other force majeure events.
• Personal injury or illness during the tour.

Our liability is limited to the direct costs of the tour services we provide. Indirect or consequential losses are not covered.

5. Health and Safety

5.1 Pre-Tour Health Requirements

It is your responsibility to:

• Ensure you are in suitable physical condition for the tour.
• Consult with your physician regarding any vaccinations or medications needed for travel to Mongolia.
• Disclose any pre-existing medical conditions that may affect your participation.

5.2 During Tour

Our guides are trained in basic first aid, but they are not medical professionals. In case of illness or injury:

• Initial first aid will be provided.
• For serious conditions, we will assist in arranging medical help.
• Medical evacuation, if needed, will be arranged (cost covered by your mandatory travel insurance).

6. Photography and Marketing

During your tour, photographs or videos may be taken by our staff or representatives for marketing purposes. By participating in our tours, you grant Khur Travel permission to use images, videos, or comments made during your trip in our promotional materials, unless you expressly request otherwise in writing.

7. Complaints and Dispute Resolution

If you have a complaint during your tour, please inform your tour guide immediately so that steps can be taken to resolve the matter. If the issue cannot be resolved during the tour, please submit your complaint in writing to Khur Travel within 30 days of the end of your tour.

We will investigate your complaint and respond within 30 days. Any disputes arising between parties shall be governed by the laws of Mongolia.

8. Acceptance of Terms

By booking a tour with Khur Travel, you acknowledge that you have read, understood, and agree to these Terms and Conditions. These terms constitute the entire agreement between you and Khur Travel regarding your tour booking.
